Confidential Information Manager


Position: Confidential lnformation Manager
Reports To: District Superintendent

PRIMARY FUNCTION: Under limited supervision gather, sort, prepare and report data generated from Student lnformation
Systems (SlS) that include Student Data, Attendance, and various Accountability Systems, Provide and be an informational
communicative link between school site personnel, district, and state regarding attendance accounting, student
accountability data, and categorical funding information.

DIRECTLY RESPONSIBLE TO: Superintendent and/or assigned designee

GENERAL KNOWLEDGE OF: General principles of lnformation Technology systems and integrated software packages;
understanding of MAC/PC workstation components; thorough familiarity with Microsoft Office-Word, Excel, PowerPoint;
and understanding or experience in use of Student Information Systems (SlS) like Power School & CALPADS

ABILITY TO: Learn to provide help desk guidance (trouble shooting); Follow written and oral instructions; Communicate
politely; Maintain confidentially; Remain professional at all times, Use correct English that is clear and concise, both orally
and in writing; Type at a speed of sufficient to perform the functions of the position; Create spreadsheets, and analyze
data; Efficiently organize time, prioritize tasks and complete assigned projects/reports within timelines; Provide training to
users on information and data systems; Organize and prioritize tasks; Work independently under general supervision;
Manage multiple databases; Establish and maintain effective relationships with those contacted in the course of the work.

Organize and compile disaggregated information for reports including but not limited to the CALPADS, CBEDS, Local
Control Funding Formula (LCFF), P1, P2 and annual attendance reports. Coordinate with District Office Departments
regarding maintenance of data fields required for categorical purposes and reports for schools, district, county and state.

Run attendance reports as needed from attendance systems to determine attendance rates and ADA. Run enrollment
reports to monitor class size averages in order to comply with the law.

Download information from the local student information system and upload into the State's student database system.
Analyze the data for accuracy, resolve errors, produce reports for verification and submit certification of District data for
State Reporting.

Download student data from the local student information system to create spreadsheets and charts from a variety of
student data forms. Develop and maintain necessary databases. Prepare student data reports as requested including
analytical comparisons using tools such as Microsoft Excel. Provide information to requestors such as documentation oJ
student en rollment verification.

Serve as a help desk for the district's student information system. Manage user accounts and maintain a security system.
Monitor accuracy and completion of the data entered by school site staff. Train and support appropriate site-based staff on
the student information system.

Provide reports on student assessment data, individually and by groups. Use appropriate computer software to prepare
charts and graphs of data. Communicate with school staff regarding missing and inaccurate data. Run "queries" of Student
lnformation System to compile data.

Maintain system manuals and documentation related to all student applications. Coordinate access to all internal
information service resources.

Testing/Student Data: Prepare and submit pre-lD files, orders tests, complete the Data Correction Modules, prepare
individual score sheets for State and other student assessment testing (including but not limited to CAASPP-CAPA,
STAR, ELPAC, PE, etc.). lnput and upload test results. Respond to requests from schools, district, county, and state
requesting test scores. Assist in preparing and mailing parent reports.

Maintain cumulative records, manage transcripts, shots for schools, district communications, and district enrollment.

Maintain professional standards of conduct (model core values) & perform all other related duties as required or assigned
(i.e., COVID testing, assisting the school site or district office as needed, etcetera).

At minimum an Associate in Arts degree in lnformation Systems or the equivalent supplemented by
coursework or training in computer operations and data processing practices.

At least three years of experience working with centralized database systems; Successful experience in
training others in how to use data systems including complex record keeping and operation of computer
applications; Preparing statistical reports; use of Student lnformation Systems; knowledge of completing
state reports and downloading or producing datafiles for various purposes.
